Contact Circulation

Complementing the Rensselaer Research Libraries' primary functions of supporting the teaching, research and scholarly activities of Rensselaer faculty, students and staff, the Libraries also support the Rensselaer community's general and recreational information needs in order to enhance student experience.

The Rensselaer Libraries will attempt to provide space and inventory management of reading materials provided by student clubs recognized by the Rensselaer Union in accordance with the below guidelines.


General Guidelines

  1. The Research Libraries have sole discretion is determining if club-offered collections can be accepted.
  2. All accepted materials become property of the Rensselaer Research Libraries.

  3. Location and size of collections are determined by the Libraries. (Recommended maximum collection size is 100 hardcover and 250 softcover books - comparable to Class of '96 Leisure Reading Collection.)

  4. The Libraries are not responsible for replacement of damaged or lost items.

  5. Clubs must designate a liaison person who will be responsible for maintaining the collection in consultation with of a designated member of the library staff.

  6. Clubs must periodically review materials in order to replace or update items. Items to be removed from a collection will be de-accessioned by the libraries.

Books & Media Guidelines

  1. All circulating items are available for loan to any person with borrowing privileges at the Rensselaer Libraries, and all items are subject to standard circulation control procedures, including recall from loan and billing.

  2. Translation/transliteration of non-Roman alphabets necessary for creating brief catalog records must be provided by club members.

  3. Informal collections, e.g. paperbacks, may be provided shelf space, but will be available strictly on an "honor system." These items will not be property stamped, barcoded, or theft protected; and no catalog access will be provided.

Magazine and Newspaper Guidelines

  1. Clubs must reimburse the library for subscription costs of newspapers and magazines.

  2. Issues must be received directly by the Rensselaer Libraries at the following address:

      Troy, NY 12180-3590
  3. Issues will be property stamped as library property and shelved in a designated area.

  4. Issues will not be retained for more than 1 year, and the Libraries are not responsible for replacement of damaged or lost issues.
